Job Description
The Receptionist is the first point of contact for our company, providing a welcoming and professional experience for all visitors, clients, and callers. This role is responsible for managing the front desk, handling phone calls, providing administrative support, and ensuring the smooth operation of the reception area. The ideal candidate will be organized, personable, and possess excellent communication and customer service skills.
Responsibilities:
Front Desk Management:
- Greet and welcome visitors in a professional and friendly manner, determining their purpose of visit and directing them appropriately.
- Maintain a neat, organized, and presentable reception area.
- Manage visitor sign-in/sign-out procedures and issue visitor badges.
- Notify relevant personnel of visitor arrivals.
- Ensure the reception area is stocked with necessary supplies (e.g., visitor badges, sign-in sheets, brochures).
- Maintain security by following procedures, monitoring the visitor logbook, and issuing visitor badges.
Telephone Management:
- Answer and direct incoming phone calls promptly and courteously.
- Take accurate messages and ensure they are delivered to the appropriate individuals in a timely manner.
- Screen calls and route them appropriately.
- Provide basic information to callers.
- Manage the company's voicemail system.
Administrative Support:
- Provide basic clerical and administrative support, such as photocopying, scanning, and faxing.
- Sort and distribute incoming mail and prepare outgoing mail.
- Schedule appointments and maintain meeting room calendars.
- Assist with data entry and record-keeping tasks.
- Maintain office supplies and place orders when necessary.
- Assist with travel arrangements and expense reports as needed.
- Assist with other administrative tasks as assigned.
Customer Service:
- Provide excellent customer service to all visitors and callers.
- Address inquiries and provide information in a helpful and professional manner.
- Handle basic complaints or direct them to the appropriate personnel.
- Maintain a positive and helpful attitude at all times.
Other Duties:
- Assist with organizing company events and meetings.
- Maintain employee contact lists and other relevant information.
- Ensure the reception area adheres to safety and security protocols.
- Perform other duties as assigned by the supervisor.
