Ensure that all exports are documented correctly. As a documentation specialist, provide applicable export documentation needed by each country of destination.
To ensure that export laws and regulations for export consignments under diverse payment terms are adhered to.
To submit timely document directives to independent surveyors and freight forwarders to necessitate timely processing of exports.
To maintain up-to-date export files in a structured and cataloged system.
Acting as a middleman, the export documentation supervisor communicates with forwarders associated with the shipment process to ease order volume flow.
Analyze and negotiate shipping costs with freight forwarders based on weight and consignment volume.
Provide advice on the most affordable mode of transport to facilitate cost-effectiveness.
To monitor and communicate the latest modifications in import procedure and guidelines to merchants assisting in the preparation of commercial documents that conform to the customs laws.
To verify freight received against receipt information and documentation.
To sign for cargo using the correct time, date, and signature.
To check inbound documentation for accuracy before reception and annotate receiving documentation with shortages, overages, and damages.
The export documentation officer confirms cargo labels and obtains correct signatures from drivers upon complete loading. For example, you might evaluate all reports from the sales staff and prescribe suitable changes if necessary.
The export documentation supervisor discovers compliance risks and generates risk assessment measures to ensure the daily consignments are delivered promptly.
To design and implementation of all export plans and activities, ensuring conformity to all project requirements.
Education & Experience
BA degree in Accounting, Finance, Business Management, Economics & related fields with at least six years of relevant experience in coffee export documentation.
Basic knowledge of Export and Import Documentation preparation role
Expertise in sea freight and export air documentation
High level of communication both written and oral with English and Amharic
Excellent Knowledge of Computer applications like Excel, Word, Access, and PowerPoint.
