Position Overview:
The primary purpose of the Finance and Admin Officer position is to provide financial and administrative support to ensure that operations are maintained in an effective, up-to-date, and accurate manner. This includes preparing and maintaining financial documents for Camara Finance posting, managing petty cash, creating monthly cash forecasts, and advance settlement. S/he also ensures that financial transactions are carried out, reported, and documented on time following general accounting principles, and Camara and donor policies and guidelines. The position will be located at the Country Office in Addis Ababa and will report to the Finance and Admin Manager.
Duties and Responsibilities:
Provide support for the day-to-day accounting operations of the organization, including accounts payable, accounts receivable, general ledger maintenance, and bank reconciliations
Review all payment claims/vouchers have the required supporting documents before they are presented to the management for approval
Making payments to vendors and all service providers
Maintain petty cash fund and timely replenishment
Monitor cash & bank flows on a daily basis and maintain close coordination with financial institutions to ensure smooth cash flows
Assist the finance team with the preparation of financial reports
Prepare advance cheques, payment vouchers, CRVs, JV’s, invoices, and receipts
Maintain proper recording of all disbursements, follow-up advances for settlement
Participating in field procurement
Check that payments related to procurement have the necessary supporting documentation as outlined in Camara finance and procurement manuals for all goods and services
Posting on Accounting Software- QuickBooks
Assist with paperwork and clearing containers at customs/dry port
Manage the preparation and submission of tax returns and pay monthly bills ensuring compliance with all local, state, and federal regulations
Keep a record of the Annual leaves of the staff
Assist with management and undertake filing, scanning, and archiving of financial and office records
Assists finance teams during internal & external audits, donor-specific audits, and any authorized third-party review of financial records
Assist with document preparation, minute taking and agendas for meetings
Assist the management in responding to the HQ office requests
Preparing outgoing letters and properly filing incoming correspondence.
Travel Requirements: Less than 10%
Bachelor's degree: B COM or BBA Accounting or equivalent degree and/or professional Diploma in accounting or other relevant field is required
1-2 years of experience in a similar position or financial monitoring responsibilities
Experience with various online accounting software, such as QuickBooks, is required
Strong Excel/spreadsheet skills for data analysis and reporting, and Google Suite experience, are required
Prior work experience in an international non-governmental organization (INGO) is considered an asset
Fluency in both written and spoken English is required.
Extremely detail-oriented and organized.
Competencies/Knowledge/Desired skills:
Knowledge of the UN system and/or Audit background is considered as an asset
Demonstrated ability to adapt to new technology, policies, and procedures effectively
Track record of teamwork, ability to handle multiple tasks, flexibility, and timely completion of critical tasks
Ability to communicate financial information clearly to non-finance colleagues
Ability to work with minimal supervision
Knowledge of financial regulations and compliance standards
Proficient in email communication
Strong written and verbal communication skills
Excellent Amharic and English typing skills.
