We are seeking a motivated and detail-oriented Admin Assistant to join our dynamic team, In this role, you will provide exceptional support to our staff and ensure the efficient day-to-day operations of our office.
Responsibilities
Communication and Client Care:
Answer phones, screen calls, and direct inquiries to appropriate personnel.
Manage email and digital communication channels like chat and message boards.
Greet visitors and provide general support.
Draft and edit letters, emails, reports, and other documents.
Scheduling and Organization:
Schedule appointments and meetings for staff, including managing calendars and booking rooms.
Organize and maintain filing systems (physical and digital).
Coordinate travel arrangements and itineraries.
Prepare agendas and take minutes during meetings.
Administrative Tasks:
Manage office supplies and equipment.
Order and maintain office supplies.
Research and compile information for reports or presentations.
Maintain databases and spreadsheets.
Perform other administrative duties as assigned.
Diploma or Degree in any social field.
1 year experience in a related field.
Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
Excellent communication and interpersonal skills, both written and verbal.
Proficiency in using office software programs like word processing, spreadsheets, and presentation tools.
Ability to learn new software and adapt to changing priorities.
Time management skills to meet deadlines and manage a busy schedule.
