We are seeking a highly organized and detail-oriented Secretary (Trading Support) to join our growing team. You will provide administrative support to our trading department, ensuring smooth daily operations and efficient workflow.
Responsibilities:
Schedule Management: Manage calendars for assigned personnel, scheduling appointments, meetings, conferences, and travel arrangements.
Communication Hub: Answer phones, screen inquiries, and direct calls appropriately. Draft and send professional emails and correspondence.
Document Pro: Prepare documents such as letters, reports, presentations, and meeting minutes with accuracy and efficiency.
Office Organization: Maintain an organized and efficient work environment. This includes filing systems, office supplies, and travel expense reports.
Meeting Master: Coordinate meeting logistics, prepare agendas, take minutes, and ensure follow-up actions are completed.
Additional Duties: May include greeting visitors, managing databases, and providing general administrative support to the team.
Diploma or equivalent in business administrative or related
1-2 years of administrative or secretarial experience
Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
Excellent communication and interpersonal skills, with a professional and courteous demeanor.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Typing skills.
Ability to learn new software and adapt to changing priorities.
Discretion and professionalism in handling confidential information.
