The Receptionist plays a vital role in creating a positive first impression for our company. You will be the friendly face that greets visitors, handles administrative tasks, and provides support to staff. Your excellent communication, organizational, and problem-solving skills will be crucial in ensuring the smooth operation of our front office.
Responsibilities:
Greeting visitors: Welcome visitors warmly, assess their needs, and promptly direct them to the appropriate person or department.
Answering phones and emails: Professionally manage incoming calls and emails, scheduling appointments, and relaying messages accurately.
Maintaining reception area: Ensure the cleanliness and professional appearance of the reception area, restocking supplies and equipment as needed.
Administrative tasks: Handle light administrative duties such as filing, data entry, photocopying, and managing calendars.
Travel arrangements: Assist with booking travel and meeting arrangements for staff.
Data Management: Update and maintain visitor logs and other relevant databases.
Additional duties: Perform other tasks as assigned, which may include greeting deliveries, ordering office supplies, and managing petty cash.
Diploma or equivalent
Excellent communication and interpersonal skills, with the ability to build rapport with diverse individuals.
Strong organizational and time management skills with the ability to handle multiple tasks simultaneously.
Proficient in computer skills, including Microsoft Office Suite.
Friendly, professional, and positive demeanor.
Ability to work independently and as part of a team.
