Job Description

Instant Technologies PLC is looking for a friendly and professional Office Receptionist to join our team. The Office Receptionist, you will be the first point of contact for visitors and clients, providing excellent customer service and ensuring a positive and welcoming experience. You will handle incoming calls, manage the reception area, and assist with administrative tasks.

Responsibilities:

  •  Greet and welcome visitors, clients, and employees with a friendly and professional demeanor.
  • Provide general information about the company, products, and services.
  • Maintain a neat and organized reception area, ensuring it reflects a professional image of the company.
  •  Manage incoming calls and direct them to the appropriate personnel.
  •  Handle and distribute incoming and outgoing mail, packages, and deliveries.
  •  Register and sign-in visitors, ensuring compliance with security protocols.
  •  Escort visitors to the appropriate meeting rooms or departments.
  •  Assist clients with appointment scheduling, inquiries, and requests.
  •  Maintain visitor logs and ensure confidentiality of visitor information.
  •  Provide administrative support to various departments, including document management, filing, and data entry.
  •  Assist in coordinating meetings, conferences, and events, including room bookings and catering arrangements.
  •  Assist in travel arrangements for employees, including flight bookings and hotel reservations.
  • Maintain inventory of office supplies and place orders as needed.

Job Requirement

Qualifications and Requirements:

  • diploma or equivalent qualification marketing, office management.
  •  One year experience in a similar role as a receptionist or front desk officer.
  •  Excellent verbal and written communication skills in English and Amharic.
  •  Professional and friendly demeanor with strong interpersonal skills.
  •  Customer service-oriented with the ability to handle inquiries and resolve issues.
  • Proficient in using office software, including Microsoft Office Suite.
