The Office Receptionist, you will be the first point of contact for visitors and clients, providing excellent customer service and ensuring a positive and welcoming experience. You will handle incoming calls, manage the reception area, and assist with administrative tasks.
Responsibilities:
- Greet and welcome visitors, clients, and employees with a friendly and professional demeanor.
- Provide general information about the company, products, and services.
- Maintain a neat and organized reception area, ensuring it reflects a professional image of the company.
- Manage incoming calls and direct them to the appropriate personnel.
- Handle and distribute incoming and outgoing mail, packages, and deliveries.
- Register and sign-in visitors, ensuring compliance with security protocols.
- Escort visitors to the appropriate meeting rooms or departments.
- Assist clients with appointment scheduling, inquiries, and requests.
- Maintain visitor logs and ensure confidentiality of visitor information.
- Provide administrative support to various departments, including document management, filing, and data entry.
- Assist in coordinating meetings, conferences, and events, including room bookings and catering arrangements.
- Assist in travel arrangements for employees, including flight bookings and hotel reservations.
- Maintain inventory of office supplies and place orders as needed.
